Cancellation Policy

Considerable time and effort go into preparing for each appointment, including administrative tasks and clinician planning. Late cancellations create additional workload and often mean that waitlisted clients, who could have taken your place, miss out. When an appointment is left unfilled, it also results in unused clinician time that could otherwise have been used to support someone in need.

For these reasons, the policies below are strictly adhered to in order to protect clinician time and ensure fair and equitable scheduling for all clients.

  • Rescheduling/Cancellation Notice: Clients are required to provide at least 2 days/48 hours’ notice for any rescheduling or cancellation. Failure to do so will result in a cancellation fee of 50% of the full appointment cost.

  • Same-Day Cancellations and Non-Attendance: Cancellations made on the day of the appointment, or failure to attend a scheduled session, will incur a non-attendance fee equal to 100% of the full appointment cost.

Cancelation examples:

  • If your appointment is on Tuesday at 3.30pm you need to cancel BEFORE 9am 2 days prior, on the Sunday before your appointment date.

  • If your appointment is on Thursday at 2pm you need to cancel BEFORE 9am 2 days prior, on the Tuesday before your appointment.

 

The cancellation fee cannot be reimbursed through Medicare, private health funds or Third-Party Funders.

 

  • Paying cancellation fees: Fees are to be paid in full on the day. The fee will automatically be charged to your nominated debit/credit card that you have agreed to have on file with us and an invoice emailed to you. - Failure to pay the cancellation fee may affect your ability to secure a booking for future sessions.
